Copying Material Between Workgroups

Module by: Mark Husband

Summary: How to move published or nonpublished material from one workgroup to another.

Workgroup Contents

A workgroup can contain modules, courses, files, and images. The current contents of a workgroup can be seen on the "Contents" tab for the workgroup. The following information is displayed for each item in the workgroup:

  • Title - The filename, or if it is module or course, the title.
  • ID - The Connexions assigned ID for published modules and courses.
  • Size - The size of the item in kilobytes. If the item is published, no size is displayed.
  • Modified - The date and time the item was last modified. If the item is new, this column displays the creation date and time.
  • State - The current status of the item. There are four possible statuses:
    • Created - The item has been created and placed in the workgroup, but no copy of the item exists in the Content Commons.
    • Modified - The item has been checked out and updated, and the changes have been saved. When you create a new item and make changes to it, its status changes from "Created" to "Modified".
    • Published - The item has been published in the Content Commons and is now accessible by anyone.
    • Checked Out - A copy of the published item was placed in the workgroup for editing purposes.

Copying Items from Workgroup to Workgroup

To copy an item from one workgroup to another, use the following steps:

  1. Select the checkbox next to the title of the item you want to copy and click Copy.
  2. Click on the "You are here" breadcrumb bar to locate and display the workgroup in which you want to paste the object.
  3. Click Paste. A copy of the item appears in the workgroup. If you paste an item into the workgroup in which the original item resides, the original item and a copy of the item will appear in the workgroup.

Using the Copy button leaves the original item in the original workgroup and places a copy of the item in the new workgroup. To move an item from one workgroup to another, perform the copy steps but use the Cut button instead of the Copy button. With the Cut button the orginal item remains in the original workgroup until you click Paste. At that moment the item is inserted into the new workgroup and the original item is removed from the original workgroup.

Removing Items from a Workgroup

To remove an item from a workgroup, select the checkbox next to the title of the item you want to remove and click Remove. The item is removed from the workgroup. You can select multiple items from the workgroup and remove them in one operation.

Renaming Items in a Workgroup

To rename an item in a workgroup, use the following steps:

  1. Select the checkbox next to the title of the item or items you want to rename and click Rename. The "Rename item(s)" screen displays.
  2. Enter the new name for the item(s) in the "New Name" field.
  3. Enter the new title for the item(s) in the "New Title" field.
  4. Click Rename All. The display of items on the "Contents" tab is updated to reflect the changes.
